and ChRoMatic software will be used in conjunction with each other, please consider this privacy policy to

Fill The Seat, LLC., is the parent company, and sole owner of the information collected on the Online-
Appointment.com website. Online-Appointment.com collects and monitors information from our users at several
different points on our website.
Registration
In order to use this Web site and/or get information, a user must first complete the registration form.
During registration a user is required to give contact information (such as name and email address). We
use this information to contact the user about services on our site for which he or she has expressed
interest. You may also be asked to provide demographic information (such as income level and gender),
and unique identifiers (such as, username and password), so we can provide a more personalized

Information Use
Profile
We store information that we collect through cookies, log files and/or third parties to create a profile of our
users. A profile is stored information that we keep on individual users that details their viewing

Cookies, if used, will be used on our site to remember and recall login names, login information, previous
purchases, potential purchases, as well as other items to help us better understand user’s needs. By
setting a cookie on our site, users would not have to log in a password more than once, thereby saving

that the user will be limited in some areas of our site. Persistent cookies enable us to track and target the

We send all new members a welcoming email to your information, and if applicable, verify password and
username. Established members will occasionally receive information on products, services and special

Service Announcements
On rare occasions it is necessary to send out a strictly service related announcement. For instance, if our

this information for the sole purpose of sending this one-time email and tracking the success of our referral

information, other than what is permitted in this privacy policy. Any abuse of this service will lead to
suspension or termination of use of these services.
What is security?
By definition, security is a collection of rules and devices designed to limit access to something.
For example, your home has various forms of security. You may have a dead bolt on your front door. You
may have an alarm system. You have a big barking dog. You may have armed security guards. You may
have a barbed wire fence around the perimeter. You may have security camera systems tied to a central
monitoring location.
By combining various types of security, you can achieve a higher level of security. But the one thing you
need to realize is that you can’t create a home that is 100% secure. That is, there is always the possibility
that a “bad” person can get into your home. In fact, sometimes the easiest way into a home is just to walk
right on in. Many homes that are burglarized are either inside jobs or the thieves just walked right in
through an open door or window.
The same principles apply to securing your data. We employ various techniques to work with your data in
a secure manner. We use 128-bit SSL for data transmission. We ask that you use strong passwords. We
have a software activation process that links your computer to your ChRoMatic software. We have limited
employee access to your data. We have very strict rules on what we disclose over the telephone or within
an e-mail to a Business or customer. We have hardware based firewalls. Our computers are stored in a
secure data center. We employ current anti-virus software. We update our operating system software
periodically to minimize security risks. If System data is stored on a laptop it is encrypted. Backup copies of
System data is stored in secure locations and is encrypted. We monitor network activity. And so forth. All
of the above steps helps us achieve a high level of security with your data.
Unfortunately, it is not possible to guarantee 100% that this will make your data secure. Any company that
says that your data is 100% safe and secure is just lying to you. There is no such thing as a 100% secure
network. As we grow, we will continuously upgrade our security systems and protocols.
If you were to look at the last few “major” breaches in data security that have occurred in big companies or
government in the last 2 years, you will see that in many cases it was either an inside job or someone left a
notebook computer somewhere. In many of these cases, the data was not encrypted. Had the data been
encrypted, it would have been very difficult to retrieve business/customer data.
We use 128-bit SSL as your data travels between your computer and our System. We use at least 128-bit
encryption for storing copies of your data for backup and archival purposes. As described in Section 19,
there is no such thing as a 100% secure network. There is also no such thing as an encryption technique
that is 100% secure. We use some of the most “current” encryption algorithms to encrypt your data. But as
always, there is a possibility to “break” the encryption and view your data. The different levels of encryption
(without going into technical details) mainly refer to the difficulty or time involved in “breaking the code”
using current computer systems. As computers become faster and faster, it becomes quicker to break
encryption algorithms. The goal with encryption is to employ an encryption technique that would
theoretically require months or years of “computer time” to break. With enough computer resources, every
encryption algorithm (to the best of our knowledge and the knowledge of many encryption experts) can be
broken. A similar example would be that of a bank vault. You can design thicker and thicker steel doors
and so forth, but eventually with enough effort an expert locksmith can open the vault.
Your Security
This Web site takes every precaution to protect our users’ information. When users submit sensitive
information via the Web site, their information is protected both online and off-line.
When our registration/order form asks users to enter sensitive information (such as credit card number
and/or social security number), that information is encrypted and is protected with the best encryption
software in the industry - SSL. While on a secure page, such as our order form, the lock icon on the
bottom of Web browsers such as Netscape Navigator, Mozilla Firefox, and Microsoft Internet Explorer becomes locked, as opposed to un-locked, or open, when users are just ‘surfing’.
While we use SSL encryption to protect sensitive information online, we also do everything in our power to
protect user-information off-line. All of our users’ information, not just the sensitive information mentioned
above, is restricted in our offices. Only employees who need the information to perform a specific job (for
example, our billing clerk or a customer service representative) are granted access to personally
identifiable information. Furthermore, ALL employees are kept up-to-date on our security and privacy
practices. Finally, the servers that store personally identifiable information are in a secure environment.
We employ 128-bit secure sockets layer (SSL) for all of our communications between your computer and
our System when using ChRoMatic software. All important information is encrypted as it travels through
the Internet.
We have very strict employee data policies at Fill The Seat, LLC to ensure that we don’t compromise the
integrity of your data or that of your customers.
All data that is stored offsite (notebook computers, tape backup, dvd/cd, ...) is always encrypted.
In the event that we should print something out that contains information about your Business or
customers, it will be shredded when discarded.
Our network is secured by a hardware based firewall and we employ anti-virus software.
Our computers use up to date operating systems.
Our computers are stored in a secure data center that is monitored 24 hours a day, 7 days a week.
We are very familiar with Health Insurance Portability and Accountability Act (HIPAA) rules and
regulations. HIPPA rules and regulations apply to medical professionals and those that work with health
records and data (insurance companies, hospitals, HMO’s, ...). We secure your data in various ways
including limited access to our servers, limited employee access to your data, encryption of your data at
offsite locations, 128-bit Secure Socket Layer (SSL) for transmission of your data between ChRoMatic
software, our servers, and the Internet, hardware firewall, and many other layers of security.
Data Backup
We backup your data that is stored within ChRoMatic software numerous times per day. We store copies
of your encrypted data in secure remote locations. The backup locations are geographically dispersed in
the event of natural disasters and other catastrophes.
Copies of your data may be kept indefinitely.
Data Loss
We have reliable data systems that incorporate various levels of redundancy. In the event of a
software/hardware failure on our end, you may experience some minimal data loss. The data loss in most
cases will be limited to either the very last transaction that you made to the System or in the worst-case
scenario a few minutes of work.
We ask that you maintain backup copies of your data.
Password and Logins
You agree to not disclose your user name (or login) to others. You agree to not disclose your password to
others. You will employ “strong” passwords. You will change your password periodically. You agree to
notify Fill The Seat, LLC in the event there is unauthorized use of your account. Fill The Seat, LLC, shall
not be responsible for any losses arising out of the unauthorized use of your account.
Online-Appointment.com will make every effort to protect your information. However, Online-Appointment.com
can’t be liable (for any damages whatsoever) for security breaches that occur outside of Online-
Appointment.com.
